Front Desk Clerk | |
A front desk clerk acts as the front-desk representative of the office in our main office on Edgehill and our satellite office in the Commons Center. Clerks play an essential role in helping the Writing Studio and Tutoring Services operate in a smooth and well-organized manner and in helping us maintain a welcoming atmosphere for our clients. Clerks oversee the opening and/or closing of the office and assist clients, consultants, and tutors with their needs. As our office consists of individuals with diverse backgrounds, potential clerks must be willing and able to work within a diverse setting and effectively communicate and collaborate with culturally and linguistically diverse students, staff, and faculty. Potential clerks should be familiar/able to quickly familiarize themselves with Outlook and other office management software. All requirements of the clerk will be discussed and the necessary knowledge to succeed in this role will be part of training (Date to be determined). Job Duties: Responsibilities include opening and/or closing the office, answering phone calls and emails, assisting clients, consultants, and tutors with their needs, and maintaining general organization of the office. Clerks usually have time to work on their own studies while at the front desk in-between assigned tasks. Reviewing and adhering to policies detailed on program websites and in office staff manuals • Opening & closing Commons or Edgehill locations (providing at least some weekly availability to open and/or close a shift) • Answering the phone • Managing the Writing Studio and Tutoring Services email inboxes and Slack channels • Taking attendance of staff during shift (in-person and online) • Greeting clients and maintaining a welcoming atmosphere • Assisting clients with questions, scheduling issues, information, etc. • Assisting consultants and tutors in serving their clients’ needs • Entering client survey responses into online database • Maintaining the organization and cleanliness of the offices • Communicating, as necessary, with clerks working simultaneously at our other location • Communicating to Office Administrator any issues that may arise during a shift • Submitting biweekly timecard by deadline issued by Office Administrator • Coordinating with clerk team for shift swaps and substitutes • Assisting Office Administrator with tasks/projects as needed |
